What You’ll Be Doing:
Provides telephone coverage, handling both domestic and international calls.
Manages calendars – scheduling conference calls/meetings; monitoring commitments.
Creates, edits and proofreads documents –must have experience in redlining documents in MS Word using the track changes feature; creates and edits presentations in MS PowerPoint; and desirably has experience creating, editing and proofreading documents with technical chemical terms.
Monitors dockets for assigned patent professionals.
Monitors incoming mail from patent offices and outside patent professionals, and uploads outgoing mail into electronic database.
Prepares patent related documents and forms and patent related legal instruments, such as patent assignments and powers of attorney, obtains proper signatures and approval, and electronically files documents with the United States Patent and Trademark office.
Keeps abreast of patent office rules and fee changes.
Creates and maintains active patent files in physical form and in electronic database.
Handles domestic and international travel arrangements, hotel/rental car accommodations and prepares expense reports ensuring compliance with company policies and travel and entertainment guidelines.
Provides backup coverage to other administrative assistants and support to the other patent professionals and other members of the Law, Intellectual Property & Compliance department, as needed.
Handles a diverse workflow with the highest degree of confidentiality.
What You Need to Bring to the Table:
High school diploma with a minimum of five years of relevant experience as an administrative assistant is required, experience as an administrative assistant for patent professionals is highly desirable.
Strong interpersonal skills; excellent verbal and written communication skills to interact effectively with people at all levels and nationalities.
Must be able to effectively learn and use different software, including third-party software.
Extensive knowledge, skill and experience with computer software applications including Outlook, Word, Excel and PowerPoint; working knowledge of IBM Connections and SharePoint and other MS Office Programs a plus, experience with patent docketing software also a plus.
Initiative, judgment and strong organizational skills to effectively prioritize and handle multiple tasks contemporaneously and meet deadlines.
Attention to detail.
Must be able to work well with team members, as well as independently with little supervision.
Must maintain confidentiality and exercise sound judgment; handle all situations with diplomacy and tact.
Must be a self-starter who can identify and solve problems proactively.
Must be able to work within the timeframe of normal business hours; occasional overtime may be required.
